REQUIREMENTS
You must be in Full time employment or if Self-employed, have traded for at least 3 years, with audited books available.
Part-time employment will be considered subject to you providing a Guarantor who must be in Full time employment.
We require all applicants to complete a ‘Tenancy Application form’ which will then be processed by an independent credit referencing agency. The cost is £140.00 per applicant, is non-refundable and must be paid in advance. Where a Guarantor is required, this may involve an additional fee.
IDENTIFICATION: We will require two forms of identification, these could be a birth certificate, full driving licence or full ten year passport, new style National Insurance card or cheque guarantee card. (Please provide a photocopy of each document.)
If you have any pets, please tell us before you apply for a property as some Landlords will not accept them. If you keep a pet in a property without permission, you will be in breach of the tenancy agreement.
Applying for a property does not guarantee a tenancy being granted.
HOW DO I APPLY TO RENT A PROPERTY
After completing the Tenancy Application form, your application is processed by an independent credit referencing company and normally takes 5 working days, not including weekends or bank holidays. When we have received a final report, provided it does not show any adverse credit history, i.e., County Court Judgements, we will liase with the Landlord who may wish to meet you personally before granting a tenancy.
PLEASE NOTE:-
1. We regret that we are unable to process applications without initial payment of the reference fee, which is non- refundable.
2. An application does not guarantee acceptance of a tenancy. Therefore please ensure that the tenancy has been confirmed in writing before making your final moving arrangements.
3. Spooners Property Management for themselves and the Landlord cannot accept responsibility for delays beyond our direct control OR for persons placing themselves in a homeless situation.
4. Spooners Property Management reserve the right for themselves or the Landlord to make the final decision regarding the suitability of an application.
HOW LONG MAY I RENT THE PROPERTY FOR?
The initial Tenancy will be an ASSURED SHORTHOLD TENANCY for a minimum term of 6 months, renewable, subject to Landlords' instructions.
Some Landlords may only wish to rent out their property for 6 months, others will wish a longer term.
If you are looking for long term rental, we will be able to guide you on the possible length of Tenancy of individual property on request.
WHEN CAN I MOVE IN?
Subject to satisfactory references and Landlords' acceptance being obtained, we will prepare an Assured Shorthold Tenancy Agreement for you to sign. Once everything is ready, we will arrange to meet you at the property to:-
a) Collect a deposit together with
b) One calendar months rent in advance and
c) To sign the Tenancy Agreement.
PLEASE NOTE:
THE INITIAL PAYMENT of Deposit together with the First Months Rent MUST be paid either in Cash or by Bankers Draft or Building Society Cheque only. ( A formal receipt will be issued ).
NO PERSONAL CHEQUES or COMPANY CHEQUES can be accepted even in part payment.
NO KEYS will be handed over until funds are cleared and no access will be allowed even for storage purposes.
THE DEPOSIT
A Surety Deposit will be required, which will normally be greater than 1 months rent, subject to Landlords' instructions. The Surety Deposit is used as a guarantee against damage to the property, breakage’s and also against any rent outstanding at the end of the tenancy. Providing everything is in order at the end of the tenancy and the rent is paid up to date, the deposit will be refunded in full, after you have vacated the property, handed all keys back to us AND following a satisfactory inspection by ourselves and the Landlord.
NOTE: DEPOSITS CANNOT BE REFUNDED UNTIL:-
1. You have vacated the property.
2. Have handed all the keys back to us.
3. We or the Landlord have carried out a satisfactory inspection of the property.
NO EXCEPTIONS CAN BE MADE REGARDING THIS IMPORTANT MATTER EVEN WHERE THE DEPOSIT IS REQUIRED FOR YOUR NEXT ACCOMMODATION.
PAYMENT OF RENT
Tenants will be required to make rental payments by STANDING ORDER though a Bank and will be asked to complete a Standing Order Mandate on the signing of the Tenancy Agreement.
Therefore, please have your Banking details with you when you sign the Tenancy Agreement. If you do not have a bank account you should open one prior to the tenancy commencing.
OTHER PAYMENTS
As well as paying rent, you will also be responsible for other payments during your tenancy . E.g., Council Tax, Water Rates, Gas, Electricity, Telephone, Cable/Satellite or any other services provided in the property . As agents for the Landlord we will notify the Council, Water Board, Gas and Electricity suppliers of the date, meter readings and details of occupancy and they will then transfer the accounts into your name. Telephone connection/transfer and Cable/Satellite services are your responsibility and you must register with the service provider.
MANAGEMENT INSPECTIONS
As Managing Agent for the Landlord , it is our duty to inspect the property at regular intervals to ensure that they are being looked after and to advise the Landlord on maintenance etc. Therefore, we normally make our first inspection at the end of the first month of the tenancy to make sure you have settled in and then approximately every 3 months thereafter. You will always be given ample notice of forthcoming inspections and a suitable date and time will be arranged with you. Please note that we will only enter the property when you are present OR after three abortive calls by prior appointment.
PLEASE NOTE:
1. If you are already in rented property, you will normally be required to give at least 1months notice to your current Landlord.
2. You are responsible for liaison with us to ensure your intended new home will be ready for occupation on the required date.
Average turnover is around 10 working days (Mon - Fri), subject to satisfactory references, Landlords' approval etc. Please ensure you allow sufficient time to move, thereby reducing stress and ensuring a trouble free move.
Important Notice to all Prospective Tenants
Before setting up a tenancy, we will take up references on you.
We use a professional Referencing Service. In order to assist you in finding the right property speedily, it is important that you supply us with mandatory information to reference you properly. It is essential that all the information requested is supplied and the form fully completed and legible - missing information will delay your application and may endanger your choice of property. When completing the reference application form, you will need to have the following information/supporting documents with you:
• The full address of your current property, including the post code.
• Your Cheque book and bank details including account No. ands sort code.
• If less than three years at your current address, a list of all addresses for the last three years with post codes and dates of occupation.
• The full company name, address and post code of your employer.
• A contact name and telephone and fax number for your employer
• A contact name/company name, address telephone and fax number of your current letting agent or landlord (if applicable)
• All telephone and fax numbers given must include the full STD code
• You must provide proof of identity and proof of residency at your current address by providing at least one of the following:
1. A Driving Licence with your current address or
2. A recent utility bill no more than 3 months old or
3. A recent mobile telephone bill or
4. A council tax bill in your name at your current address or
5. A signed and dated letter from your employer’s human resources department showing the
6. name of the individual and their position within the company.
NOTE: Bank statements, DSS/pensions pass books/Benefit vouchers are not acceptable as proof residency. Please ensure that ALL referees you have provided have been notified that they will be contacted by a referencing company.
